Register Users in Bulk
① Click “Admin” ▶ “User Settings” ▶ “Bulk Settings”
② Select the character encoding for the file to download
Character Encoding You can choose from the following character encodings:
UTF-8 A multilingual character encoding that supports platform-dependent characters and foreign languages.
Shift-JIS A commonly used character encoding for Japanese. Note: Using platform-dependent characters or foreign languages not supported by Shift-JIS may result in character corruption (mojibake).
③Specify the Number of “Concurrent assignments” and click “Export configuration file.” Set the number of concurrent departments based on the user with the highest number of concurrent department assignments.
⑦Check “I have confirmed the above content.” and click “Next”
⑧ Select either “Send Now” or “Schedule Send” for account issuance timing for new users, then click “Execute Bulk Settings”
User roles that will receive the account activation email:
Engagement / Sharing ・System Owner ・Administrator ・Action Plan Manager ・Sharing Member
Role Development ・Users with login enabled
The following users will not receive the email: ・Users who have already received the account activation email * To resend, go to “User Settings” and resend the account activation email.
・Users set to “Service Unavailable” or “Login Disabled” for all services * Even if “Survey Respondent” users are enabled, they will not receive the email.
⑨ Click "Close" Even if you click "Close" partway through, the process will continue. You will be notified by email once it is completed.
Note
The account activation email will not be sent to email addresses that have already been used to issue an account. If you need to resend it, please resend the account activation email from "User Settings".
Regarding the number of users per service The number of users per service can be managed individually. For details, please see Change the number of users for the service.
If you are using Motivation Cloud Engagement ・To display survey results to users, in addition to assigning them the Action Plan Manager role, please also link their departments via Action Plan Manager Settings or View Permissions Settings. ・We recommend setting the account activation email to be sent around the result reflection date. If users log in before the survey results are reflected, no data will appear on the screen for Action Plan Managers linked via Action Plan Manager Settings or View Permissions Settings.
Edit or Delete Users in Bulk
To edit or delete users, modify or remove entries in the file downloaded in Step ②, then upload it again.
Note
Email addresses of already registered users cannot be changed through "Bulk Settings." To change them, go to "User Settings" "Individual Settings". Operation Manual: User Settings: Register, Edit, and Delete Individually
If you change the email address of an existing user in a CSV file and upload it, the original user information will be deleted and the user will be registered as a new user. If applicable users are included, an alert will be displayed in advance, and you can download a list of users subject to deletion. Please check before uploading to prevent unintended deletions. (The alert is displayed only when users with an employee ID are subject to deletion.)
Deleting an existing user from the CSV file will remove all of their registration information. This information cannot be recovered.
If you change an email address in the CSV file, the user will be deleted and re-registered as a new user. All associated organization and attribute information will be reset and cannot be restored.
If you are using Motivation Cloud Engagement If using “View Permissions Rule Settings,” after updating user information such as department, click “Go to Grant/Update Permissions” under “View Permissions Settings” to reflect the changes.
