Organization bulk settings (First time) : Create Organization List File

What is the Organization List File?

The Organization List File is a CSV file that allows you to register, modify, or delete multiple organizations in bulk. By uploading the completed CSV file, you can register multiple organizations simultaneously. The data registered here will be reflected in Motivation Cloud Engagement and Sharing. This setting is not required when using Motivation Cloud Development.

Before Downloading the Organization List File

If you are registering organizations for the first time, please configure the organization language settings before downloading the Organization List format.

STEP 1. Enter Organization Hierarchy and Department Information

① Enter the Organization Hierarchy Code, Organization Hierarchy Name (Japanese), Department Code, and Department Name (Japanese).

The display order of departments on result screens follows the order in the CSV file. If hierarchy levels are specified, the order of Column C (Organization Hierarchy Level) takes precedence.

When setting organizations in languages other than Japanese

② From Column H onward, enter Organization Hierarchy Name and Department Name in other languages.

• The CSV file will display the languages configured in the "Language Settings".
• If a survey respondent answers in a different language, the department name registered here will be displayed in their selected language.
• If department names in other languages are not registered, the Japanese names will be displayed.

In Motivation Cloud Engagement surveys, when allowing respondents to select their department

Respondents can select "None" in addition to registered departments, but results for "None" cannot be viewed individually. If you wish to review such responses, you need to register a department like "Other" in advance.

STEP 2. Set Organization Hierarchy

In the hierarchy settings, link higher-level and lower-level departments based on the organizational chart. For example, if "Sales Headquarters" contains "Sales Department", and it further contains "Sales Section 1", set them accordingly. With this setup, assigning the lowest-level department to a user will automatically associate the user with all parent departments.

Enter the hierarchy level, parent department code, and parent department name.

• Column C (Hierarchy Level) is required.
• Columns F (Parent Department Code) and G (Parent Department Name) are only optional when there is no parent department.

Example: For the fourth row, if "Sales Department" has "Sales Headquarters" as its parent, enter "D-1" in Column F and "Sales Headquarters" in Column G.

  • Editing the first row of the CSV file will cause an import error.
  • If the hierarchy level (Column C) is the same, department names (Column E) must be unique.
  • Depending on your plan, there may be a limit to the number of usable departments.
     

• When using the Motivation Cloud Engagement admin interface in English

  Some screens do not support switching the display language for organization names. Therefore, even if you're using the admin interface in English, organization names may still appear in Japanese. To display them in English, please register department names in English under the Organization Settings.
